Webinars

A webinar is the closest thing to a sales call that scales. One hour, one screen share, dozens or hundreds of people watching you solve the exact problem your product solves. This playbook shows you how to pick a topic people register for, run a live demo that converts, and turn the recording into an evergreen funnel.

A live demo answers objections in real time - something a landing page can never do.

Why webinars still convert

Registering for a webinar is a high-intent action. Someone gives you an email address and blocks out an hour of their calendar for a topic tied to your product. That is a far stronger buying signal than an ebook download, and it means the audience arrives already leaning in.

Live also removes objections faster than any other format. You show the workflow, you handle the sceptical question in chat, and you make the offer while the value is still on screen. Even people who never attend live still get the recording, so a single webinar keeps producing registrations, emails and demos for months.

Three real examples

SaaSMillions of tutorial views, product embedded in every lesson

Ahrefs turned teaching SEO into pipeline

Ahrefs built its growth on educational sessions and tutorials where the product is the tool used to solve the problem - not the subject of the pitch. Attendees learn a real workflow, and the workflow happens to require the product. That is the exact structure a converting webinar copies: 80% teaching, 20% product.

HubSpot made webinars a permanent acquisition channel

HubSpot runs a continuous webinar programme and keeps every session available on demand behind a short form. The live event captures a burst of registrations, then the recording becomes an evergreen lead magnet that ranks and gets shared long after the live date.

Notion grew through live template walkthroughs

Notion leaned on live walkthroughs where creators build a real setup from scratch on screen. Viewers copy the result immediately, which turns a passive session into an activated account. For any product with a blank-canvas problem, a live build is the strongest possible demo.

Once one webinar converts, put the recording on an always-on 'watch on demand' page with the same email gate. It keeps producing leads with zero extra work.

The step-by-step playbook

  1. 1

    Step 1: Pick a problem, not a product topic

    Nobody registers for 'Product X demo'. They register for 'How to cut your churn 20% in 30 days'. Take the single outcome your best customers get and title the session after that outcome. Look at your top support questions and best-performing content for the topic that already pulls attention.

  2. 2

    Step 2: Build a one-page registration page

    Headline = the outcome. Three bullets = what they will be able to do afterwards. Date, time, your face, and a single email field. Add 'Can't make it? Register anyway and we'll send the recording' - it typically lifts signups noticeably.

  3. 3

    Step 3: Script the 45-minute structure

    5 min: the problem and why the usual fix fails. 25 min: live walkthrough solving it end to end inside your product. 5 min: the offer (trial, discount, onboarding call) with a clear next step. 10 min: live Q&A. Never save the offer for the very end - some people leave early.

  4. 4

    Step 4: Drive registrations for 7-10 days

    Email your list twice, post on LinkedIn/X three times with a different angle each time, add an in-app banner, and post it in two communities where your buyers already hang out. Ten days is the sweet spot: long enough to build up, short enough that people remember.

  5. 5

    Step 5: Send the reminder sequence

    Attendance rate lives or dies here. Send a confirmation with a calendar file immediately, a reminder 24 hours before, and one 15 minutes before with the join link at the top. Expect 30-45% of registrants to show live.

  6. 6

    Step 6: Run it live and record everything

    Test audio and screen share 15 minutes early. Have a colleague watch chat so you never break flow. Ask a question in the first two minutes to make the room active, and repeat every question out loud before answering so the recording makes sense.

  7. 7

    Step 7: Turn one webinar into ten assets

    Send the replay within 24 hours to everyone who registered, with a different CTA for attendees vs no-shows. Cut 5-8 short clips for social, transcribe it into a blog post, and put the recording on an on-demand page that keeps collecting emails forever.

The exact invite (steal this)

Use this to invite your list, or to pitch a partner audience to co-host with you - co-hosted webinars usually double registrations.

Subject: {outcome} - live walkthrough on {date}

Hi {first_name},

On {date} at {time} I'm running a free 45-minute live session: "{webinar_title}".

I'll walk through, on screen:
- {promise_1}
- {promise_2}
- {promise_3}

There's live Q&A at the end, so bring your specific situation.

Save your seat: {registration_link}

Can't make it? Register anyway and I'll send you the recording.

Questions to answer before you pick a topic

  • What outcome do our happiest customers describe in their own words?
  • Which support question do we answer over and over again?
  • What does our audience currently do instead - and why does it fail?
  • Which partner has the same audience but a non-competing product?
  • What is the single next step we want attendees to take?

If you can't state the outcome in one sentence without naming your product, the topic isn't ready yet.

Do it faster with AI Prompts

Generate webinar topics

Our product is {product_description}. Our ideal customer is {ICP}. Their biggest recurring problem is {problem}. Give me 10 webinar titles that promise a specific outcome, do not mention our product name, and would make this person block an hour in their calendar.

Write the run-of-show

Write a 45-minute webinar run-of-show for the title "{webinar_title}". Structure: 5 min problem framing, 25 min live walkthrough, 5 min offer, 10 min Q&A. For each block give me the talking points and the exact screens I should show for {product_name}.

Write the promo sequence

Write a 4-email promotion sequence and 5 social posts for a webinar titled "{webinar_title}" on {date}. Each asset should use a different angle: outcome, pain, curiosity, social proof, and last chance. Tone: direct, no hype.

Repurpose the recording

Here is the transcript of my webinar: {transcript}. Give me (1) a 900-word blog post, (2) 8 short clip ideas with timestamps and hooks, (3) a follow-up email for attendees and a different one for no-shows.

Mistakes that kill this play

  • Making it a product tour instead of solving a problem live.
  • Holding the offer until the last two minutes when half the room has left.
  • Skipping the reminder sequence - registrations without reminders lose most of their attendance.
  • Reading slides instead of sharing the actual product screen.
  • Never sending the replay, which throws away most of the value.
  • Running it once and calling the channel dead instead of making it monthly.

Your first 5 days

  • Day 1: Pick the outcome-led topic from your support questions and best content. Lock a date 10 days out.
  • Day 2: Build the registration page and set up the confirmation plus two reminder emails.
  • Day 3: Write the run-of-show and rehearse the 25-minute walkthrough once, end to end.
  • Day 4: Launch promotion: email the list, post on social, drop it in two communities, add an in-app banner.
  • Day 5: Prep the follow-up assets in advance - replay email, attendee offer, no-show email and clip list.
